All university offices in Newberg and at regional sites will be closed on Monday, May 28, to observe the Memorial Day holiday. Libraries in Newberg and the Portland Center also will be closed.

Some outdoor safety tips for the three-day weekend

With a long holiday weekend ahead, here are some safety tips if camping, hiking or backpacking are on your get-away list!

  • Research cell phone coverage for your trip. If you will be out of range, find out how to access services for the ranger or local law enforcement. Check out communication devices at outdoor stores that allow you to text, boost your signal or use your cell phone as a radio in case of emergency.
  • Leave at home or in a safety deposit box all jewelry, electronics, unneeded cash and credit cards. Connect with other campers, and if they seem trustworthy, agree to watch each other’s tent and camping equipment when out on a hike or day excursion.
  • Take valuables with you if at all possible or use a diversion safe that looks like an ordinary object.
  • Hide items that you need to store in your vehicle and transfer them to your trunk prior to arriving at your destination.
  • Lock your vehicle and close windows and sunroofs.
  • Look for people loitering around parking areas, and don’t leave your car if there are suspicious persons hanging around.
  • Trust your instincts! If something feels “off” about a campsite or campers, follow your gut.
  • Carry a whistle or noise-maker to draw attention to yourself if you need help.
  • Make a family plan about what to do if any family member becomes separated from the group.

Make plans to attend the all-employee meeting set for Thursday, May 31, from 3:30 to 5 p.m. in Canyon Commons. A live stream of the meeting will take place in PDS 160 at the Portland Center.

Also, there has been a change to the June meeting schedule. The meeting that month will take place on Wednesday, June 20, from 3:30 to 5 p.m. in Canyon Commons (PDS 160 live stream).  It was originally scheduled for June 28.

Some FoxTALE tips for faculty members

The 2018 Spring course sites have now been hidden to students. If you want to make any of the 2018 Spring course sites visible to them, follow these steps:

  • Select “Administration” menu>Edit settings
  • In the “General” section,  look for the “Visible” setting
  • Change “Hide” back to “Show”
  • Scroll to bottom and “Save changes”

You can use the same procedure to make courses visible to students for 2018 Summer course sites.

Unrelated to hiding courses, but helpful to know: In your Dashboard “Courses view,” your courses are now listed in three tabs: “In Progress,” “Future” and “Past.” You can control how your courses are listed by entering each course site and adjusting the start and end dates. Expectant mothers, new moms and moms of little ones invited to lunch May 23

Tickets on sale for improv comedy troupe’s visit to campus May 18

The George Fox University Auxiliary invites you to a ComedySportz Hour on Friday, May 18, at 7:30 p.m. in Bauman Auditorium. Featuring fast, funny, improvised comedy for the whole family, this one-hour show features two professional comedy teams battling for laughs and points under the command of an “all-powerful” referee. The comedy is based on fan suggestions, and the fans control the outcome of the match.

Tickets are $12 each (children age 12 and under are free) and can be purchased at the George Fox Box Office or online at this link. Proceeds from the event will go toward funding George Fox scholarships.

End-of-Year Reminder for Deposits and Petty Cash Reconciliations

If your contract ends in June and you will not be on campus through the summer, please bring over any money before you leave. Checks dated prior to June 30, 2018, must be deposited in the current fiscal year. Money that needs accounting for in FY2018 must be deposited no later than 1 p.m. on June 29. If it arrives later, it will go into the FY2019 budget.

End-of-the-fiscal-year deposits to be included in this year’s budget must be in Finance no later than Friday, June 29. Checks dated prior to June 30, 2018, must be deposited in the current fiscal year. Please look around your desks and file cabinets to see if there are any lingering items that need to go to the bank. If you are taking vacation during the July 4 holiday, please send your deposits over BEFORE you leave. If you should have any questions about deposits, please contact Heather Groenlund at ext. 2173.

Final petty cash reconciliations for this fiscal year are due in Finance no later than Friday, June 29. Please remember to submit all receipts, cash and reconciliation reports before this deadline. Please plan ahead! If you are taking vacation during the July 4 holiday, please send your deposits over BEFORE you leave. If you have questions about petty cash protocols, please contact Jen Klapp at ext. 2170.

Year-End Purchasing, Concur Expense Reports, Visa Reports and Concur Guidelines

The end of the fiscal year is approaching, and with that we would like to inform you of a few requirements for year-end purchases.

Purchasing
Please remember that if you order goods and services, they need to be physically received/completed by June 30, 2018. Goods and services received after that date will be charged to the 2018-19 budget year. Therefore, all Purchase Requisitions/POs for this fiscal year need to be entered by May 31, 2018.

Visa
Your George Fox University Visa can be used until June 18, 2018. If you will be traveling between June 18 and June 30 and you need to use your university Visa card, you must contact Purchasing prior to arranging travel.

Concur/Visa Reports
Concur Expense Reports and Visa Reports for 2017-18 must be submitted by July 10, 2018. Any reports created and submitted after that date will be reflected in the 2018-19 budget.
