FoxTALE upgrade planned for Aug. 25-26

FoxTALE will be upgraded from Moodle version 2.2 to version 2.4 from 8 a.m. Sunday, Aug. 25, until 8 a.m. Monday, Aug. 26, to stay in alignment with updates at moodle.org. FoxTALE will not be available during this time. You can create assignments before the upgrade. Assignments in courses that go through the upgrade will be automatically converted to the new format. No further action is required.

Here are some of the highlights of the new version:

  • All icons will change. See the mapping from old to new icons.
  • Assignments will be enhanced and have a new look and feel. There is only one type of assignment with many customizable features. See the new assignment features.
    • Existing assignments will be automatically converted to the new format. No action is required.
  • Drag and drop files from your computer onto your course home page. The files will be added as resources.

Sign up for one of the FoxTALE webinars we are offering over the next two weeks, or one of the labs we are hosting Aug. 28 in Newberg and Aug. 29 at the Portland Center.

Old FoxTALE available until Aug. 31, 2013
Here’s a reminder that old FoxTALE (foxtale19.georgefox.edu) will be available until Aug. 31, 2013. If you have additional course sites that need to be copied from old FoxTALE to new (current) FoxTALE, please contact the IT Service Desk before Aug. 20 so that assignments in those courses can be converted in the Aug. 25 upgrade.

Prepare for fall 2013 and spring 2014 in FoxTALE

Use your new, empty Fall 2013 and Spring 2014 sites as the sites in which you will teach. You may import content from another course site. See the instructions here for importing.

Your Fall 2013 and Spring 2014 sites are unavailable (hidden) to students. When you are ready to make a site available, go to Settings > Course administration > Edit settings on the course home page. Scroll down to the “Availability” section and select “This course is available to students” from the drop-down menu. Scroll to the bottom of the page and “Save changes.”

If you have course content to move from old FoxTALE to new FoxTALE, please contact the Service Desk before Aug. 20 so that assignments in those courses can be converted in the Aug. 25 upgrade. Please note that old FoxTALE will no longer be available after Aug. 31, 2013.

You can create assignments before the upgrade. Assignments in courses that go through the upgrade will be automatically converted to the new format. No further action is required.

Metacourses Used Only for Special Cases
To folks who have been using FoxTALE for several years … Remember the good ol’ days when courses were set up with templates and metacourses? Well, those days are behind us now, and the process has simplified. Here is an overview of a course life cycle that we’ve been using since Fall 2012.

New course sites are created for each semester, and content can be imported (video) from one semester to the next. Metacourses may still be used in special cases where you want to use one FoxTALE site for multiple sections of the same class. If you still use metacourses, contact the Service Desk for assistance with setting them up.

FoxTALE upgrade planned in late August

Opening for Institutional Research and Technology Specialist in IT

This full-time position, open due to the departure of Sheila Abercrombie in early July, is open to employees only through Friday, July 5. This position is responsible for the collection, maintenance and reporting of institutional data and the preparation of reports that support decision-making and planning at the university. One way you can learn about them is to subscribe to our TechTips forum. Receive in your e-mail updates, hints and tips relevant to George Fox University-supported software, including Microsoft Office, Windows 7, Google Apps, Keynote and PowerPoint, Apple OS, iOS features and more related to George Fox systems.

June 15 is deadline for spending FSA funds from 2012-13 plan year

If you still have a balance remaining in your Flexible Spending Account for the plan year that ended March 31, the end of the grace period for spending these funds is quickly approaching. You have only until Saturday, June 15, to spend the funds. Any receipts must be dated no later than June 15. According to IRS regulations, any funds remaining after that date are forfeited.

The next deadline to be aware of is Sept. 14, which is the deadline to submit any receipts for reimbursement from the 2012-13 plan year.

All-employee meeting scheduled for this afternoon

Don’t forget the all-employee meeting scheduled for this afternoon (Thursday), from 3:30 to 5 p.m. in Hoover 105. Among the items on the agenda is an update on enrollment.

May is quickly slipping away and with it the opportunity to nominate colleagues for Support Staff Member of the Year and/or Administrator of the Year. Nominations will be accepted through Friday, May 31.

Do you have a colleague you believe is deserving of this award and meets the criteria provided in the April 14 e-mail from Peggy Kilburg? If so, please take a few minutes to submit a nomination. University closes Monday to observe Memorial Day

All university offices in Newberg and at regional sites will be closed on Monday, May 27, to observe the Memorial Day holiday. Libraries in Newberg and the Portland Center also will be closed.

All-employee meeting scheduled for May 30

An all-employee meeting is scheduled for Thursday, May 30, from 3:30 to 5 p.m. in Hoover 105. Among the items on the agenda is an update on enrollment.

New updates to Google+ Hangouts

Something new has been added to Google+ Hangouts. If you’re a regular user of Google+ and Hangouts, you’ll want to know how these new changes affect you. IT has put together a short guide to get you started so you can make the necessary updates and continue to use the Hangouts feature with as little inconvenience as possible.

One of the new features is that Hangouts and Chat are now synced across devices, and you can switch from one device to another within the same Hangout and/or Chat. Check out our guide at this link.

IT offers some FoxTALE end-of-semester reminders

If you used the FoxTALE grade book for any of your FoxTALE course sites, we recommend that you back up your Spring 2013 grade book to a spreadsheet that is saved outside of FoxTALE. See the instructions here for backing up grades.

If your course site is set to weekly format, your course might show incorrect dates. To change the dates, go to Settings > Course administration > Edit settings on the course home page. Scroll down to the course start date, and change it to the first day of your summer course. Scroll to the bottom of the page and “Save changes.”

Nominate colleagues for Support Staff and Administrator of the Year awards

It’s time to submit nominations for Support Staff and Administrator of the Year awards for the 2012-13 year. Since this program was established in 1994 to recognize George Fox administrative and support staff members for their contributions, 46 employees have received this honor.

There are two separate awards: Support Staff Member of the Year and Administrative Staff Member of the Year. Each recipient will be honored with a plaque and a check in the amount of $500 at our first community meeting for 2013-14 in August. Nominations will be accepted through Friday, May 31.

The executive team will make the selections from nominations received and recommendations of an ad hoc committee that includes last year’s awardees.

Please send your nomination to Peggy Kilburg at pkilburg@georgefox.edu according to the following guidelines:

1. Nominations may be made from a list of support staff and administrators (contact Melodee Powers for the complete list). Those on the list meet the following eligibility criteria:

  • .56FTE (usually 30 hours per week, 9 months) or above
  • Completion of at least three years of service by March 31
  • Continuing in employment next year unless retiring, and
  • Not a previous recipient of this award

2. All George Fox employees may make nominations.

3. More than one person in each category may be nominated; however, a separate e-mail should be sent for each nomination.

Questions you may want to consider as you make your nomination:

  • How has this person encouraged or helped you, other employees, and/or students?
  • What is it about this person’s job performance that impresses you?
  • What have been this person’s unique contributions above and beyond assigned duties?
  • How does this person demonstrate Christian commitment, loyalty to George Fox, and leadership skills at the university and in the broader community?
