Please be mindful of Finance deadlines

Sunday, May 17th, 2020

Following are important deadlines from the Finance office.

Deposits
End-of-the-fiscal-year deposits to be included in this year’s budget must be in Finance no later than June 28, 2020. Checks dated prior to June 30 must be deposited in the current fiscal year. Please look around your desks and file cabinets to see if there are any lingering items that need to go to the bank. If you are taking vacation during the July 4 holiday, please send your deposits over BEFORE you leave.

Petty Cash
Please submit all petty cash reconciliations to the Finance department by today (Monday, May 18). Remember to submit all receipts, cash and reconciliation reports before this deadline.

Purchase Orders
The end of the fiscal year is approaching, and with that we would like to inform you of a few requirements for year-end purchases. First and foremost, please refer to the recently posted Purchasing Policy. Please remember that if you order goods and services, they need to be physically received/completed by June 30, 2020.

Goods and services received after June 30, 2020, will be charged to the 2020 student year. Therefore, all Purchase Requisitions/POs for this fiscal year need to be entered by May 29, 2020.

George Fox Visa cards can be used until June 1, 2020. Concur Expense Reports and Visa Reports for 2019-20 must be submitted by June 30. Any reports created and submitted after July 1 will be reflected in the 2020-21 budget.

To ensure a clean cut-off between FY2019-20 and FY20-21 spending, the last day to use your university Visa card for FY20 purchases is Monday, June 1, 2020. Please refrain from using your card for any purchases after this date.

Finance: Be aware of requisitions guidelines

Sunday, May 10th, 2020

Please be aware of these items relating to requisitions:

  • If you are entering a requisition to receive pre-approval to use your George Fox Visa, you need to enter US Bank as the supplier. Their supplier ID is 80002684. Once you receive the corresponding PO, you may complete the purchase with your George Fox Visa. These charges then need to be submitted on your monthly Concur report.
  • Please make sure you enter in information in the Requester’s Justification field on all requisitions. This is what needs to be provided: what it is, how it’s used, and why it is critical to university operations. If it is grant related, provide an explanation of the grant and that it is in the budget. If you do not include this information your requisition will be denied.
  • Please make sure you Check Budget on each requisition entered. If you do not click on Check Budget, the requisition cannot be processed.
  • If you receive an email stating that your requisition is denied, you need to click on the link and then open up the approver’s comments. There you will see why your requisition was denied. Make the necessary corrections on the requisition and then resubmit the requisition for approval.

Questions? Contact Matt Hammar at mhammar@georgefox.edu.

Please review updated purchasing policy

Sunday, May 10th, 2020

Share your COVID-19 story with future generations

Sunday, May 10th, 2020

If you could teach someone about COVID-19 and the quarantine 100 years from now, what would you share? What records and artifacts would you give them to learn from? In 100 years where would historians find these records?

We in archives invite George Fox students and employees to share your COVID-19 story with this submission form. How has this pandemic impacted your life? What has this experience been like for you? Sharing your experiences now will help people in the future understand what life was like during the COVID-19 pandemic.

If you have any questions, contact Rachel Thomas at rthomas@georgefox.edu.

Info on purchasing moving forward

Wednesday, April 29th, 2020

Thank you to all who have curtailed spending for nonessential items. In our continuing effort toward being good stewards of George Fox resources, we will now require that all purchases be approved in advance.

The PeopleSoft Purchasing system is the vehicle that we will be using for all purchases moving forward (including Visa transactions). Generated purchase requests will be converted into PO’s, and the approved PO will be sent to you electronically so that you will be able to complete the purchase.  If you are requesting a purchase that uses your George Fox Visa card, the vendor selected would be “USBank.”

An email was sent to all PeopleSoft users on April 16, 2020, with instructions/tutorial on creating purchase requests. We know that there will be some who haven’t generated purchase requests or haven’t done so for some time – not to worry! We will be available to give all the assistance that you need, including one-on-one training either over the phone, via email, in person or on Zoom.

Please call or email either Kathi Becker (kbecker@georgefox.edu or 503-554-2166) or Matt Hammar (mhammar@georgefox.edu or 503-554-2008) if you have questions.

Compete in May fitness challenge

Tuesday, April 28th, 2020

The Hadlock Student Center intramurals program is hosting a running, cycling and walking/hiking challenge during the month of May. The individuals who log the most minutes for the entire month (there will be three separate groups) will win the respective championship. Depending on the number of sign-ups, we may have separate categories for students and faculty/staff.

Whether you run, ride or walk/hike really fast, or you’re just getting out for some exercise and cruising, the winners will be determined not by speed but by the total number of minutes for the entire month of May.

For more information and to sign up, go to imleagues.com. Questions? Email studentcenter@georgefox.edu.

Planning underway to open teaching sites in fall

Monday, April 27th, 2020

George Fox is planning for students to return to physical classrooms at our teaching sites for the fall semester. We will do so thoughtfully and within the mandates from the governor’s office, but we will do everything in our power to offer our students in-person teaching rather than only remote delivery this fall.

Teams of George Fox employees are developing plans – in concert with the governor’s office and public health guidance – for the return to campus.

If you have questions, contact your VP or the university provost.

Take advantage of free remote cooking classes

Sunday, April 26th, 2020

Now more than ever we all need to feel more comfortable working in the kitchen. Starting mid-May, live online cooking classes will be offered to all George Fox students, alumni and employees.

We will talk about how to use pantry food and elevate it with inexpensive ingredients from the produce, meat and dairy sections. From potatoes to rice, we will look at simple techniques that will give you many more options for healthy and nutritious food on a budget. You will learn to modify recipes for almost every dietary need.

Please complete this form if you are interested in participating in these classes. Whether you are in Alaska, California, Hawaii or Newberg, you can join in. All classes will be recorded for those who are unable to attend. There are no obligations!

Take advantage of these crazy days and learn to cook. You won’t be sorry! Classes will be taught by the Bruin Community Pantry’s Jere Witherspoon, and there may be special guests!

Questions? Contact Jere at jwitherspoon@georgefox.edu.
