Fiscal-year-end 2015/2016 is quickly approaching, and the finance department would appreciate your help in ensuring a smooth and timely year-end close. Please review and note the following deadlines for accounts payable requests:
1. Submission of the following FY2015/2016 requests must be received by the finance department on or before July 8, 2016:
- Check Requests
- Invoices
- Expense Reimbursement Requests
- Petty Cash Logs for expenses through June 30, 2016, only
2. All Cash Advance Requests for FY2015/2016 expenses must be received by the finance department on or before June 13, 2016.

Plant Services is hosting its annual Phase II event this week. Items will be open for viewing in the Macy and Sutton basements starting today (Tuesday) from noon to 5 p.m. It will open again Wednesday and Thursday, May 4-5, between 8 a.m. and 4 p.m., and again on Friday, May 6, from 8 a.m. to noon.
At the end of every school year, many students have good reusable items that they do not want to take home over the summer. These items often include blankets, clothing, kitchen supplies, small appliances, radios, room decorations, furniture, etc.
In an effort to keep the dumpsters from overflowing and to be better stewards of our resources, Phase II was initiated. Many students have benefited from these items. For example, summer work-study students often find items they need for apartment living.
After students and staff view these items, the remaining items will be donated to the International Student Emergency Fund and other local charities.

Carlos Ordonez joined the university as a graduate admissions counselor for the MBA and DBA programs last week. He arrives from Pioneer Pacific College in Wilsonville, where he worked as an admissions officer for the past three years. Before that, he was a senior admissions advisor at Carrington College in Northern California from 2010 to 2013. He also has experience working as a high school admissions advisor with Heald College and as a high school representative with Wester Career College in California. Carlos holds a bachelor’s degree in business management from the University of Phoenix (2010). He lives in Keizer with wife Tiffany and 3-month-old daughter Myla and attends Horizon Community Church in Tualatin.
Alexandra Rhizor (Plant Services) has left the university to take a new job closer to home. She will be working as a claims analyst at Epiq Systems in Beaverton.

Melissa Thomas (Registrar) became president of the Oregon Association of Collegiate Registrars and Admissions Officers at the organization’s annual business meeting on April 19.
Rand Michael (Graduate School of Counseling) was the keynote speaker for “Shattering Stigma with Stories,†a conference at New Hope Community Church in Happy Valley that addressed the interface of the church and mental health/illness. Rand’s keynote title was “From Stigma to Style: Choosing Our Life Narrative.†The conference, which took place Saturday, April 23, was presented for mental health professionals as well as clergy and church laity.
A Philippines-based literary print journal, Metaphor, published Ed Higgins’ (English) poem “If you could only†in its April 2016 issue. In addition, Ed’s flash fiction story, “What She Left Unsaid,†was published in the Spring 2016 issue of Donut Factory, a literary print-only journal based in Berkeley, Calif.
Stephen Howell (Data Analytics) was named Employee of the Month for April.

Please plan now for the institution-wide stationery order taken at the end of August. The collective order helps keep costs low – the higher the volume, the lower the cost. Consequently, it is most economical to overestimate needs and store a small surplus.
I will be accepting orders from now through Thursday, Aug. 18, when orders are due.
For order instructions, go to the marketing communications website. Continue to purchase all non-departmental stationery (including “second-sheet letterheadâ€) through the university’s print services.

The Oregon Writing Project Collaborative at George Fox University is pleased to be offering several Young Writers Camps for third- through 12th-grade students. This organization, part of the College of Education, has offered these camps for years at its previous location and is thrilled to be launching them through George Fox.
Topics include Oregon Battle of the Books, Superheroes for a Cause, Creative Nonfiction, and Code/Create/Compose. Please feel free to pass this along to those who might benefit from this experience.

End-of-the-fiscal-year deposits to be included in this year’s budget must be in finance no later than July 1, 2016. Checks dated prior to June 30 must be deposited in the current fiscal year.
Please look around your desks and file cabinets to see if there are any lingering items that need to go to the bank. If you are taking vacation during the July 4 holiday, please send your deposits over before you leave. If you should have any questions about deposits, please contact Heather Groenlund at ext. 2173.
Final petty cash reconciliations for this fiscal year are due in finance no later than July 8, 2016. Please remember to submit all receipts, cash and reconciliation reports before this deadline. If you will be taking vacation over the July 4 holiday, please plan ahead and send these over before you leave. Housing check-in will take place in the Le Shana lobby today (Monday, May 2) from 4 to 7 p.m. (Note: Check-in was previously scheduled to take place in the student life office).
Things to Remember:
- You will receive your roommate information and housing assignment at the time of check-in.
- You must have your official check-out before 12 p.m. on Sunday, May 1, with your RA. However, you are approved to stay in your room until you move on Monday.
- If you will not be on campus during May: If you are leaving prior to May 2, you will need to put your belongings in storage. There is space set aside for May storage in the Macy basement. You will need to contact the summer RA (gsaderholm13@geogefox.edu) to get into this space. If you leave after May 2, then you will check in to summer housing prior to leaving.

Are you interested in joining the George Fox Community Garden? Located near the soccer field on the Newberg campus, on the corner of Crestview and Villa Roads, the garden is open to students, faculty, staff and members of the community. No gardening experience is necessary!
We meet weekly and work on projects together, share a potluck meal, and enjoy learning how to grow our own food from God’s creation together. The cost is $10 for students, $15 for faculty/staff/community members, and free for kids. These funds purchase the seeds and seedlings we need. (Although, if the cost is the only thing holding you back, please join anyway!)

Before saying your goodbyes and hitting the highway there are a few payroll reminders. First, please be sure to lock your time sheets. This will prevent any hold on your paycheck for a signature.
Second, be sure your address is up to date with mail services so your paycheck can find you. Another great option is to set up direct deposit before you go, so your pay won’t be delayed by the mail. The direct deposit form is available at this link.

There will be no delivery of class papers to student mailboxes after 2 p.m. today (Friday).
Returning students: Class papers not picked up today will stay in their mailbox all summer. Students will get them when they return to campus.
Graduating seniors: Class papers not picked up today will be stored in Mail Services for one month. Students can stop by Mail Services and ask for them beginning the second week of May.

Graduating seniors: Return your mailbox key before you leave campus to avoid a $15 key fine. Key return envelopes for your use are located at all post offices. Simply include your name and box number and drop the envelope with the key inside in the “Campus Mail†slot. You can also return them at Mail Services.
Students withdrawing or going on LOA: Same as above! Return the mailbox key before you leave to avoid the $15 fine.
Returning students: Keep your mailbox key over the summer. You will have the same mailbox in the fall.
After 2 p.m. today (Friday): No class paper or U.S. Mail delivery will be made to student mailboxes. All students please clean out your mailboxes – nothing more will go into the mailboxes after 2 p.m.
