As George Fox University employees increasingly use Google Apps for conducting university business, it is important that the data being stored there is secure and stored in compliance with applicable laws and regulations.

Institutional Technology is implementing new processes that will help users identify documents that could potentially expose restricted data. There are a few key details of this process that are important to know:

  • This process is governed by the Cloud Data Privacy and Data Loss Prevention Policy. This policy is intended to ensure the privacy of individual’s files and set guidelines for protecting restricted data.
  • Beginning Aug. 1, users will start receiving notices of files that potentially expose restricted information to unauthorized users.
  • In rare cases where restricted data is shared in a manner that violates privacy laws or regulations, public or domain-wide sharing may be revoked automatically. In other cases, the user will be given notice to ensure that the data is being shared in an appropriate fashion.

Mileage Reimbursement Reminder

When traveling on behalf of the university, please make sure you are helping choose the most economical option.

First determine whether it is more economical to rent a car or use your personal vehicle. This can be done using the mileage calculator on the financial affairs webpage.

The university will reimburse at the lower of the two amounts. It is also important to determine if it is less expensive to fly to your
destination or to drive. If it is less expensive to fly and you choose to drive, the university will reimburse you for the lesser of the two amounts.

Turnitin upgrade coming this Monday

Turnitin will perform an upgrade on Monday, July 18. The new version of the service, called Feedback Studio, offers the same functionalities, but with a simplified, more intuitive interface that is accessibility compliant. The new interface combines the Similarity report and GradeMark feedback in one convenient view for both faculty and students.

The procedure for creating an assignment using Turnitin will remain the same. Once upgraded, you can expect to see a new interface when you open up a student’s paper in Turnitin. Your students will also experience this new interface when viewing Similarity Reports and receiving feedback.

Note: We do not anticipate any disruption of service in FoxTALE during this upgrade.

Global Leadership Summit open to all Aug. 11-12

Volunteers needed for football’s Bruin Brigade

When the Bruin football team plays at home, you can count on a packed stadium. It takes a village to make our football games the success that they are, and we’d love to have you join our team of incredible volunteers, the Bruin Brigade. All volunteers will receive lunch or dinner at each game they volunteer, free entry into the game and a T-shirt.

George Fox has been asked to provide the grand marshal for this summer’s Newberg Old Fashioned Festival Parade. It’s the start of our 125th year, and we want to recognize the people who have helped us get this far… our employees and students. This is your invitation to be one of the grand marshals for the parade.

Meet at Newberg’s Rennie Field (Blaine and 6th)

We’re assembling a group of employees, students, parents and alumni to walk and hand out candy. It’ll probably take less than 20 minutes of walking. Some spots will be available for riding and waving. We’ll also have the Bruin bus, Professor Ed Higgins’ 1934 Ford flatbed truck, the Bruin bear (“Pennington”) and the Victory Bell.

Geoffrey Moore, an author, speaker and advisor who has written a million-selling book and advises high-tech enterprises that include Microsoft, Intel and Salesforce, will speak on the university’s Newberg campus this morning (Friday). The public is invited to attend, and admission is free.

Moore’s life’s work has focused on the market dynamics surrounding disruptive innovations. In addition to writing three books (Crossing the Chasm, The Gorilla Game and Inside the Tornado), Moore’s most recent endeavor, Escape Velocity, addresses the challenge large enterprises face when they seek to add a new line of business to their established portfolio.

Accounts Payable Year-End Deadlines

Fiscal-year-end 2015/2016 is quickly approaching, and the finance department would appreciate your help in ensuring a smooth and timely year-end close. Please review and note the following deadlines for accounts payable requests:

1. Submission of the following FY2015/2016 requests must be received by the finance department on or before July 8, 2016:

  • Check Requests
  • Invoices
  • Expense Reimbursement Requests
  • Petty Cash Logs for expenses through June 30, 2016, only

2. All Cash Advance Requests for FY2015/2016 expenses must be received by the finance department on or before June 13, 2016.

June time sheets due next week

Please deliver all staff time sheets and administrator time-off reports for June to Human Resources by Wednesday, July 6, to close the fiscal year. (Student time sheets are due Tuesday, July 5.)

Please plan ahead if you expect to be out of the office or on vacation. Additionally, if you have missed turning in time sheets from prior months, this is a very important time to catch up! Please contact Katie Sol with questions at ext. 2181.
