It’s time to submit nominations for Support Staff and Administrator of the Year awards for the 2012-13 year. Since this program was established in 1994 to recognize George Fox administrative and support staff members for their contributions, 46 employees have received this honor.
There are two separate awards: Support Staff Member of the Year and Administrative Staff Member of the Year. Each recipient will be honored with a plaque and a check in the amount of $500 at our first community meeting for 2013-14 in August. Nominations will be accepted through Friday, May 31.
The executive team will make the selections from nominations received and recommendations of an ad hoc committee that includes last year’s awardees.
Please send your nomination to Peggy Kilburg at pkilburg@georgefox.edu according to the following guidelines:
1. Nominations may be made from a list of support staff and administrators (contact Melodee Powers for the complete list). Those on the list meet the following eligibility criteria:
- .56FTE (usually 30 hours per week, 9 months) or above
- Completion of at least three years of service by March 31
- Continuing in employment next year unless retiring, and
- Not a previous recipient of this award
2. All George Fox employees may make nominations.
3. More than one person in each category may be nominated; however, a separate e-mail should be sent for each nomination.
Questions you may want to consider as you make your nomination:
- How has this person encouraged or helped you, other employees, and/or students?
- What is it about this person’s job performance that impresses you?
- What have been this person’s unique contributions above and beyond assigned duties?
- How does this person demonstrate Christian commitment, loyalty to George Fox, and leadership skills at the university and in the broader community?
I hope you will take some time to consider your colleagues’ contributions and nominate any you believe are deserving of this award.

The fourth annual Leadership Institute for Group Discernment will be held at Tilikum Center for Retreats and Outdoor Ministries May 20-23. The event is designed to help church leaders lead in consensus- and discernment-oriented ways.
A limited number of scholarships are available for George Fox students (saving $300) and faculty/staff (saving $150). Contact Jan Wood at this link for more information.

Please plan now for the institution-wide stationery order taken at the beginning of the fall semester. The collective order helps keep costs low – the higher the volume, the lower the cost. Consequently, it is most economical to overestimate needs and store a small surplus.
I will be accepting orders from now through Monday, Aug. 26, when orders are due.
For order instructions, go to the marketing communications website. Continue to purchase all non-departmental stationery (including “second-sheet letterheadâ€) through the university’s print services.

The Staff Development Committee has budgeted funds for use by support staff members to attend seminars that will enhance their job skills and professional development. The Professional Development Fund will cover a portion of the seminar fee as follows: Up to 50 percent of the total cost, with a maximum of $75. For seminars over $500, reimbursement is $100.
Each support staff member is limited to one use of this fund per fiscal year. Funds are available until used up, so apply as early as possible. Funds may be requested for seminars you will attend or have already attended in this fiscal year. Funds may also be requested for seminars you are registered for in the coming fiscal year.

In an effort to raise awareness of the violence facing women and children in the Democratic Republic of Congo, Clint Baldwin (Center for Peace and Justice/Center for Global Studies) will be speaking at the Genocide Awareness and Prevention event scheduled at Portland State University on Thursday, April 25. He will speak from noon to 1 p.m.

FoxTALE will be upgraded from Moodle version 2.2 to version 2.4 on Monday, Aug. 26, 2013, between 6 a.m. and 6 p.m., to stay in alignment with updates at moodle.org. FoxTALE will not be available during this time. No preparation is required by faculty.
Here are some of the highlights of the new version:
- All icons will change. See the mapping from old to new icons.
- Assignments will be enhanced and have a new look and feel. There is only one type of assignment with many customizable features.
- Existing assignments will be automatically converted to the new format. No action is required.
- Drag and drop files from your computer onto your course home page. The files will be added as resources.

We are still in need of many willing servants to serve as ushers at both the undergraduate and graduate commencement ceremonies on Saturday, May 4. Take tickets, hand out programs, direct graduates’ family and friends to their seats, and help make graduation a special event for all involved. All George Fox employees who participate as ushers will be paid $25 per ceremony through payroll.
There are three opportunities for involvement:
Traditional Undergraduate Ceremony
- Time Commitment: 1:30-4:30 p.m. on Saturday, May 4
- Location: Wheeler Gymnasium

After 35 years of service to George Fox, Hank Helsabeck is retiring this spring. The provost is hosting a retirement celebration for him from 3 to 5 p.m. on Monday, April 29, in the Klages Dining Room.

This is the final week our theatre department is presenting the spring romantic comedy Enchanted April. The show runs Thursday through Sunday, April 18-21, in Wood-Mar Auditorium. All performances begin at 7:30 p.m. with the exception of Sunday’s 2 p.m. matinee.

All George Fox students may receive a complimentary ticket for Thursday’s performance. All faculty and staff are entitled to one complimentary ticket for any show of the run. Tickets are available for pick-up in the Box Office located in the Pennington House. Box Office hours are from 9 a.m. to 5 p.m. weekdays. Online tickets can be purchased at any time.

It’s interview season for summer and fall! The instructions and offer letters for summer are up to date on the supervisor Web page. Please remember that summer jobs must go to students who will be a student this fall, and preferably returning students (although you can hire a freshman if that’s your only / best qualified candidate). Please ask students to submit a summer application form, and that will need to be turned into HR along with the offer letter and any other documents that are required (see instructions). If the student is planning to live on campus, they must apply for housing by April 26.
If you wish to hire a student who is graduating, please contact Human Resources, as they will be considered a Temporary Employee (no longer classified as a student if graduated).
We don’t yet have fall work-study eligibility reports posted on the Web, so ask your student if they’ve been offered work-study and take their word for it. You can leave the amount blank on the fall offer letter. We’ll advise when the report switches to the 2013-14 academic year.
Have you heard about the new online time-keeping system? It’s awesome, developed by our own Mike Campadore in IT, with documentation and training by Piper Parks. All supervisors will be offered training (if you’re here in the summer, that’s when your invitation will come). I understand if you’re anxious to switch — it’s cool.
Looking forward to the end of the school year:
- If you’re NOT on the online time-keeping system, feel free to have any students who work through May 5 turn in May hours on the April time sheet, and please try to hand-deliver those time sheets as early in the day on Monday, May 6 as possible.
- Remember to catch students and their time sheets on their last day to work for the school year, BEFORE they leave for summer! If a student does leave without signing the time sheet, we can still process it with your signature, so don’t hold it.
- Encourage all students who will be on Juniors Abroad or May Serve to sign up for direct deposit so their money will be immediately available on May 15. The form is on the student employment Web page.
- Summer employment (and therefore summer time sheet) starts on Monday, May 6. Since your employees will probably be working an eight-hour day, remember that lunch periods are not paid time, so they must clock out for their lunch period and clock in when they return. Their lunch should be taken before they hit the six-hour mark. They must take at least a 30-minute unpaid meal break.
- We are planning our summer student employment meeting for Monday, May 6, at 9 a.m. (location to be announced). Thank you for sending your students, and feel free to attend yourself.
