HR: No mid-month payroll in July

HR will not be running a payroll between June 30 and July 31, 2014. The new Chart of Accounts will take effect in July, and all employee pay records must be updated prior to running the next payroll. This project will not be finished until mid to late July.

In order to process all 2013-14 fiscal year payroll information, we will run two payrolls at the end of June. Everything received by June 18 will be processed on the regular payroll cycle and paid by direct deposit on June 30 as usual. Katie Sol will also run an extra payroll (live check rather than direct deposit) on June 30 to include anything received from June 19 through June 26. Please note that everything that comes in between June 27 and July 18 will be processed on the July 31 payroll.

In order to ensure compliance with federal requirements as well as those of the 13 states where we have employees, we need to put more effort into getting documents here on time for processing with the regular, month-end payroll. We can predict that a mid-month payroll will be required a few months each year, but we are discontinuing this practice as a regular event. Therefore, please note that the hard and fast due date in HR for payroll information is the 18th of the month. Items received after that date will be paid on the following month’s regular, end-of-month payroll.

Volunteers needed for football’s Bruin Brigade

The university’s first football game is set for Saturday, Sept. 6, and it will take an army of volunteers to ensure that all the logistics for this game and the home games to follow are handled in an organized and efficient way. For that reason, George Fox is organizing the Bruin Brigade, consisting of a group of volunteers who will handle everything from directing game-day traffic and selling tickets to serving as statisticians and cleaning up after the game.

New fiscal year, new chart of accounts

The finance team, along with IT, have been working diligently on the process of redesigning and implementing the university’s new chart of accounts. In the coming weeks there will be detailed information and training as well as communications about timeline and important steps.

Please be sure to direct special attention to messages from the finance team and take advantage of training opportunities. For those of you off campus for the summer, information and training will be provided for you upon your return.

Flag lowered in observance of SPU

On Thursday, June 5, our colleagues at Seattle Pacific University experienced a shooting on campus that resulted in one death and additional injuries.

In respect and observance of their loss, the flag shall be displayed at half staff June 6-13. The Seattle Pacific University community is in our thoughts and prayers.

Off-campus access to library databases changing

Starting this week, you will need only your MyGFU username and password to log in to library resources from off campus.

Summit and Foxtrax will still ask for your last name and library barcode. When those systems are replaced at the end of the year, they too will begin using MyGFU credentials, and you will never have to type in your 14-digit barcode again.

FoxTALE maintenance scheduled on Monday, June 2

FoxTALE will be unavailable from 6 to 8 a.m. (Pacific Time) on Monday, June 2, for scheduled maintenance. We apologize for any inconvenience.

During this maintenance update, Spring 2014 sites will be hidden to students. If you want to make your course site visible to students after this update, select “Edit settings” in the Course Administration block. Look for the Visible setting (located in the top General section) and change “Hide” back to “Show.” Scroll to bottom and “Save changes.”

Reminder of next week’s courier service change

The change in courier service will begin next week on Tuesday, June 2. The courier will be delivering one tub of mail/packages and one library book tub on Tuesdays and Thursdays only.

Delivery Schedule

  • Newberg Campus: Mail and packages must be in Mail Services ready to go by 10:45 a.m.
  • Portland Center: Mail and packages must be ready for courier pick-up by 11:15 a.m.

Notes

  • Additional charges will be applied for packages that do not fit into our normal-sized mail tub. Departments will be responsible for the additional charge of $10 per package if the package is too large to fit into the tub or if there are too many packages to fit into the tub. Anything less than 10 pounds that does not fit into the tub will be shipped via UPS, as it is cheaper than the courier price. On the Newberg campus, Mail Services will determine the best method.
  • Please make sure all packages have the sender’s and receiver’s name on it as well as a cost center. Your package will be delayed until this information is supplied.
  • If you miss the courier and cannot wait until the next delivery date, it is the department’s responsibility to get their item(s) to or from the Portland Center.
  • If you include the date that the package must be received, and Mail Services has too many packages to fit into the tub that day, Mail Services may be able to hold your package for the next scheduled courier delivery date. If no date is indicated, we will send the package out via UPS and charge your cost center.
  • Contact Sherrie Frost at ext. 2556 or Linda Sartwell at ext. 2560 if you have items that are required to be in a locked courier pouch during transit.
