FY 2014-15 chart of accounts update

Our new chart of accounts is set to go live on Tuesday, July 1. Here’s an update on how to use or find additional information:

  • First, nothing will change for finishing up your June 30 (FY13/14) transactions. Continue to use the same forms and run the same reports. These transactions are still using the current chart of accounts.
  • Please follow any instructions you have already received from Human Resources regarding payroll forms and direct payroll questions to the HR team. The next payroll will be on July 31, with no mid-month process for check requests in July.
  • There has been a page added to the finance webpage (georgefox.edu/finance) for chart of accounts information.
  • Coming soon will be:
    • Instructions explaining the new chart fields and how to use them.
    • Instructions for using the “commitment control” inquiry feature to review your departments.
    • Instructions for using the purchase order system for FY14/15 purchases.
    • Resource for translating your current coding into the new 14/15 coding.
  • There will be a new section on the “Common Forms” page for FY14/15 Forms to be used for FY14/15 business.

Most of you will be busy finishing up your June 30 work during the first few days of July. We are making every effort to have all these materials available before you need them to begin creating purchase orders, check requests or deposits for the new fiscal year. If you do not find what you need to complete your July transactions, please call the finance office at ext. 2167 and we will help you.

NBC Basketball Camps scheduled on campus

NBC Basketball Camps will be on campus the next two weeks. The camps are open to boys and girls ages 8-18 and combine skill development with Christian values. Alumnus and former men’s basketball player Mark Johnson serves as site director for the camps.

HR hosts Red, White & Blue Jeans Day on July 3

HR invites you to participate in our ninth annual Red, White and Blue Jeans Day. In recognition of Independence Day next Friday (and a George Fox holiday), you are invited to wear casual attire in patriotic colors on Thursday, July 3.

At 3 p.m., the HR staff will serve up the all-American dessert, apple pie a la mode, on the Stevens Center plaza. We hope you can join us for this sweet treat and enjoy a chance to visit with coworkers. Summer student employees are also invited.

Portland employees will enjoy an Independence Day celebration during afternoon break as well – in PDS 160.

All-employee meeting canceled; next meeting set for July 24

A university update will be presented at the next all-employee meeting on Thursday, July 24.

Volunteers still needed for football’s Bruin Brigade

We are still seeking volunteers to join the Bruin Brigade! This team of people will help ensure that all the logistics for home football games are handled in an organized, efficient way this coming season.

The first game is Saturday, Sept. 6, and there are five home games in all (Sept. 6, Sept. 13, Oct. 18, Oct. 25 and Nov. 8). Bruin Brigade volunteers will handle everything from directing game-day traffic and selling tickets to serving as statisticians and cleaning up after the game.

HR: No mid-month payroll in July

HR will not be running a payroll between June 30 and July 31, 2014. The new Chart of Accounts will take effect in July, and all employee pay records must be updated prior to running the next payroll. This project will not be finished until mid to late July.

In order to process all 2013-14 fiscal year payroll information, we will run two payrolls at the end of June. Everything received by June 18 will be processed on the regular payroll cycle and paid by direct deposit on June 30 as usual. Katie Sol will also run an extra payroll (live check rather than direct deposit) on June 30 to include anything received from June 19 through June 26. Please note that everything that comes in between June 27 and July 18 will be processed on the July 31 payroll.

In order to ensure compliance with federal requirements as well as those of the 13 states where we have employees, we need to put more effort into getting documents here on time for processing with the regular, month-end payroll. We can predict that a mid-month payroll will be required a few months each year, but we are discontinuing this practice as a regular event. Therefore, please note that the hard and fast due date in HR for payroll information is the 18th of the month. Items received after that date will be paid on the following month’s regular, end-of-month payroll.

Sales professional speaks on campus June 24

Effective goal-setting that results in real achievement will be outlined by sales professional Marjorie Dudley of Salem at the Tuesday, June 24, Newberg meeting of the Christian Chamber of Commerce of the Northwest. The meeting runs from 7:30 to 9 a.m. in the Villa Academic Complex.

On staff with Flywheel Inc. in Wilsonville, an authorized member of the Sandler Training sales system, Dudley has worked in sales for more than a decade. Through what she has learned in the Sandler program, Dudley is enthusiastic about training sales professionals and nonprofit development teams to achieve greater results through a systematic approach.
