Payroll due date reminder

All temporary time cards, payroll check requests and any overload or adjunct contracts and coaching agreements need to be turned in to human resources on the 18th of each month by the end of the day in order for them to be processed with that month’s payroll.

All staff time sheets and admin time-off reports need to be turned in to human resources by the end of the first week of each month. Both the employee and supervisor signatures are required. If your supervisor is unable to sign before the due date, please send your time sheet/time-off report to HR with a note in place of the signature that a signed copy will follow.

Plan accordingly for football’s season opener Sept. 6

Bruin fans! Only about three weeks remain until our first football game in more than 40 years! Kickoff will be in Stoffer Family Stadium at 1:30 p.m. on Saturday, Sept. 6, against Arizona Christian.

Because this long-awaited game is highly anticipated, we expect a sellout crowd and long lines. For that reason, we ask that if you plan to purchase tickets to please do so immediately. Employees receive a general admission pass but need to purchase additional tickets for other family members. We also encourage you to show up early.

Please also note that all vehicles must be moved from the Bauman and Minthorn/Mail Room parking lots on Friday evenings before our Saturday home games.

Faculty: Please submit requests for course reserves ASAP

Reminder: Chart of accounts training is today

We officially went live with a new chart of accounts on July 1 for the 2014-15 fiscal year. Please visit the financial affairs website for updated information about the change.

Our next training session is today (Friday) from 2 to 4 p.m. in Stevens 109. Dates and locations for additional training sessions are posted on the financial affairs website under “Scheduled Training.”

Bring emergency supplies to campus

Staff and students: In the case of a large-scale emergency on campus that prevented everybody from going home, do you have emergency supplies on hand to last one to three days? These items will help everybody to better make it through an emergency like a large earthquake, etc., and we are asking everybody to please keep these items on hand in your dorm room, apartment, house or office:

  • Flashlight and batteries
  • Space blanket
  • Gallon of water
  • Trail mix/granola bars/nuts/dried fruit
  • Rain poncho
  • Two- to three-day supply of necessary medication
  • Roll of TP
  • Kleenex/sanitary supplies
  • Book, needlepoint, knitting, Sudoku/puzzle book, magazines, etc. to occupy time if residence hall/apartment/office closed due to damage
  • Hand sanitizer
  • Notepad/pencil

Most of these items will fit in one- to two-gallon-sized Ziploc bags and can be kept in a desk drawer or closet. Security has also been posting other items to add to an emergency kit on our Facebook page and will add to that list in the weeks to come. The above items would help during a “shelter in place” emergency should there be no electricity, heat, or running water on campus.

While our hope is that these will never be needed, having them on hand will make living through a large emergency much easier.

Reminder: All-employee meeting is tomorrow in Klages

All employees, half time and above: Don’t forget to attend the all-community meeting scheduled from 8 to 11:30 a.m. tomorrow (Friday), in the Klages Dining Room on the Newberg campus. Breakfast will be served beginning at 8 a.m., with the program to follow from 8:30 to 11:30 a.m.

The meeting will include a time of worship and devotions, updates from President Robin Baker and the VP team, employee service awards, and recognition of the support staff and administrator of the year. The event will be followed by a short dedication ceremony in front of the Pennington dorm at 11:30 a.m.

Serve Day is coming on Wednesday, Sept. 3! If you are planning to purchase a meal, please complete this form so we know how much food to prepare. If you do not plan to purchase a meal, you do not need to complete this form.

Breakfast and dinner are provided free of charge for all employees; in addition, lunch is provided free of charge for team leaders and committee members. Dinner is available for purchase for families of employees; bring a blanket and enjoy a picnic on the quad after a wonderful day of service.

Texas-style barbecue served on the quad Thursday

We are firing up the smoker Thursday, Aug. 14, to celebrate the roots of barbecue, Texas style! We will be serving slow-smoked beef brisket with regional side dishes, along with blackberry cobbler and southern-style sweet tea, all for just $6.95. We’ll serve it on the quad between 11 a.m. and 1 p.m.

Ross/Bauman lot closed for repaving through Friday

Call for stationery orders

Now is the time to order university stationery. The collective order helps keep costs low – the higher the volume, the lower the cost. Consequently, it is most economical to overestimate needs and store a small surplus.

I will be accepting orders through Monday, Aug. 18, when orders are due. For order instructions, go to the marketing communications website. Continue to purchase all non-departmental stationery (including “second-sheet letterhead”) through the university’s print services.

Athletic training program hosts Life Flight training simulation Monday

The university’s athletic training program will conduct a training simulation with the Newberg Fire Department and Life Flight on Morse Field this Monday, Aug. 18, from 1 to 3 p.m. A helicopter will be landing on Morse Field as the students and staff participate in medical transport training.

Chart of accounts update

We officially went live with a new chart of accounts on July 1 for the 2014-15 fiscal year. Please visit the financial affairs website for updated information about the change. Please see the “Chart of Accounts” page to learn about the easy conversion tool that will convert your old coding to the new coding. The check request, expense reimbursement form, deposit transmittals, petty cash vouchers and petty cash logs have all been updated and can be found on the “Common Forms” page under 2014-15 Forms.

There have been no changes to the 2013-14 chart or reports.

Important Welcome Weekend info for employees

Welcome Weekend is next week! With all the new students and their families, we’re expecting more than 2,000 guests on campus Thursday, Aug. 21, and Friday, Aug. 22. Here are a few important details for employees.

Welcoming our Guests: While this may seem obvious, please greet and welcome our guests, ask if they need help, walk them to the Information Tent on the quad if they have a question you can’t answer, and help us make this a special time for our new students and their families.

Schedule: The complete schedule for Welcome Weekend can be found at welcome.georgefox.edu. There are three schedules: traditional students, transfer students, and families and guests.

Parking: On Thursday and Friday, we need employees to park in one of three locations off-campus if at all possible:

  • Gravel parking lot on Meridian Street (just past Fulton Street next to the railroad tracks) and walk to campus
  • Newberg Friends Church (307 S. College St.) and walk to campus or carpool with colleagues to the gravel parking lot on Meridian Street
  • Northside Community Church (1800 Hoskins St.) and walk to campus or carpool with colleagues to the gravel parking lot on Meridian Street

Meals: Employees who signed up to be volunteers will receive one complimentary meal ticket to be used at lunch or dinner. Other employees desiring to eat on campus can pay as they enter the meal lines.

Attire & Name Tags: If you have a George Fox polo or dress shirt please wear it on Thursday and Friday, as well as your name tag.

Beef brisket on the menu this Thursday

Be sure to join us this Thursday, Aug. 14, as we celebrate the roots of barbecue, Texas style. We will be serving traditional smoked beef brisket with regional side dishes out of our food cart on the quad from 11 a.m. to 1 p.m.

We will also be holding a drawing for a free prize that day in the Bruin Den!

Please update your vehicle registrations now

Staff, faculty and adjuncts: If your vehicles have changed, please go on MyGFU now and delete any incorrect registrations by using the minus button to the right of the listing. You can click on the “add vehicle” button to bring up a new row to register any new vehicles. After doing so, please email Nadine Kincaid (nkincaid@georgefox.edu) and tell her if a vehicle replaces a previous one, or if it is an addition.

If your parking hangtag is held together with duct tape and bubble gum, please bring the shards to the security office and we’ll issue you a new one. Or, if yours has gone AWOL, just bring $5 cash to the office and we can issue you a replacement. Additional permits are also available for $5 cash; this can be very convenient if you frequently switch vehicles. If you have new adjuncts in your department, please have them register on MyGFU so we can get a 2014 adjunct permit to them as soon as possible.

If you normally work at the Portland Center but make frequent visits to the Newberg campus, we’d like you to register so you will have a parking permit on your car when you arrive in Newberg.

Also, due to the increased amount of commuters this year, it is going to be very busy in the parking lots for the first few weeks. If you have the ability to walk to campus or ride a bike or carpool, that would help to ease some of the congestion in the Bauman and VAC lots until things settle down.
