Accounts Payable Year-End Deadlines

Fiscal-year-end 2015/2016 is quickly approaching, and the finance department would appreciate your help in ensuring a smooth and timely year-end close. Please review and note the following deadlines for accounts payable requests:

1. Submission of the following FY2015/2016 requests must be received by the finance department on or before July 8, 2016:

  • Check Requests
  • Invoices
  • Expense Reimbursement Requests
  • Petty Cash Logs for expenses through June 30, 2016, only

2. All Cash Advance Requests for FY2015/2016 expenses must be received by the finance department on or before June 13, 2016.

Oregon Suzuki Institute
The Oregon Suzuki Institute is a week-long program (June 26-July 1) held every summer at George Fox. The institute provides an opportunity for approximately 350 Suzuki students to receive lessons, perform and take classes in order to reinforce their normal studies.

Bruin Camp: Gridiron Football Camps
John Bates and Ken Ingram host two camps this week: a team camp for high school students (June 26-29) and an individual skills camp (June 30-July 1).

Call for name tag orders

Marketing communications is collecting orders for name tags. For those who have regular face-to-face contact with the public and need to order a name tag, you may submit your request at this link.

Be sure to provide the name of the person for whom the name tag is needed; title or department (optional); and the chart of accounts budget to be charged. The next order will be placed on Monday, July 11.

Author Geoffrey Moore speaks on Newberg campus July 8

Geoffrey Moore, an author, speaker and advisor who has written a million-selling book and advises high-tech enterprises that include Microsoft, Intel and Salesforce, will speak on the George Fox campus on Friday, July 8. The public is invited to attend, and admission is free.

Moore’s life’s work has focused on the market dynamics surrounding disruptive innovations. In addition to writing three books (Crossing the Chasm, The Gorilla Game and Inside the Tornado), Moore’s most recent endeavor, Escape Velocity, addresses the challenge large enterprises face when they seek to add a new line of business to their established portfolio.

Please update your vehicle registration now

Employees: If you still have the white staff permit hang tag, or an adjunct one that expired on Dec. 31, 2015, it’s time to register your car on the new vehicle registration portal on MyGFU! Also, if you’ve changed cars since last summer, it’s time to update which vehicles you are driving to campus. It’s easy and fast!

If you are new to George Fox, or didn’t register on the new database last summer, just grab that vehicle registration form from the DMV and sign in to MyGFU. The vehicle registration link is underneath “GFU Resources.” It will ask you basic information about your vehicle, and also to click in agreement twice. Your permit will be sent to you via campus mail, so be sure to have your university post office box number in front of you before beginning the process.

Staff permits are valid until your permit either breaks or you leave the university. The orange adjunct permits are currently only valid until the last day of 2016, so adjuncts, please stay tuned this fall for instructions on how to re-register after fall semester.

Have a current staff or adjunct permit, but you’ve changed vehicles recently? Just bring your vehicle information to the security office and we will switch over your permit to your new vehicle and get it registered in our office.

Tired of switching permits from vehicle to vehicle? Bring $5 cash to the security office and we can issue you a new permit for that second vehicle.

Work at the Portland Center but come frequently to Newberg for meetings or to teach? We’d love for you to register as well!

End-of-Year Reminder for Deposits and Petty Cash Reconciliations

Monday, June 20th, 2016

End-of-the-fiscal-year deposits to be included in this year’s budget must be in finance no later than July 1, 2016. Checks dated prior to June 30 must be deposited in the current fiscal year.

Please look around your desks and file cabinets to see if there are any lingering items that need to go to the bank. If you are taking vacation during the July 4 holiday, please send your deposits over before you leave. If you should have any questions about deposits, please contact Heather Groenlund at ext. 2173.

Final petty cash reconciliations for this fiscal year are due in finance no later than July 8, 2016. Please remember to submit all receipts, cash and reconciliation reports before this deadline. If you will be taking vacation over the July 4 holiday, please plan ahead and send these over before you leave. If you have questions about petty cash protocols, please contact Jen Klapp at ext. 2170.

Football camps coming to campus

Coaches John Bates and Ken Ingram are running three football camps this summer. The first is a day camp for youth football this week (June 20-23), with a Monday check-in at Duke.

The second camp is an overnight team camp with about 150 high school students (June 26-29), with check-in scheduled for Sunday in Wheeler at 10 a.m.

Finally, we expect about 50 high school students for the third football camp, an overnight individual skills camp (June 30-July 1). Check-in will be Monday in Duke at 9 a.m.
