Mystery textbook order: ‘International Dynamics’

We have a mystery textbook order. The financial affairs office is trying to locate the faculty member or department that ordered 13 copies of a textbook entitled International Dynamics. The date of the order was June 29, 2012.

Lower net pay is due to expiration of the payroll tax reduction

Two years ago, effective Jan. 1, 2011, the payroll (Social Security) tax was temporarily reduced by 2 percent. Although it stayed in effect a year longer than originally intended, that reduction came to an end on Dec. 31.

As a result, and all other things about your pay being equal, your net pay today will be at least 2 percent less than it was in December. Income tax rates were also revised, so you may see a change in your net pay due to that as well.

Nominations open for February Employee of the Month

It is time to think about someone to nominate for February Employee of the Month. Is there someone you love having for a colleague, whether in your department or another department? If someone comes to mind, please consider submitting a nomination via e-mail to Peggy Kilburg by Wednesday, Feb. 20, with a summary of this person’s recent contributions and any other information that makes this person deserving of this award.

The President’s Executive Leadership Team will select a recipient from among the nominees. The winner will be honored with a citation and a $100 VISA gift card at our next community meeting scheduled for Feb. 28.

Congratulations again to Mark Pothoff on being named December Employee of the Month and to Emily Maynard as the choice for January Employee of the Month.

Watch for your W-2

If you did not give permission to receive your W-2 online, it will be in your campus box today, Thursday, Jan. 31 (unless you normally receive your pay statements at your home address).

Most of the information on the form is fairly easy to understand or explained in the fine print on the reverse; but you can find additional, helpful information at this link.

Last Call for Tuition Remission Requests for 2013-14

If you are a benefits eligible employee and there is any possibility that you will use tuition remission during next academic year (fall 2013, spring 2014 and/or summer 2014 semesters), whether for yourself, a spouse, and/or dependent(s), a Tuition Remission Request Form for each person needs to be submitted no later than Friday, Feb. 1.

Please note:  There is a separate form for the Adult Degree Program and the Elementary Education Degree completion program.  nd finally, please be sure to read the instructions page before you begin completing a Tuition Remission Request Form.

University donors: Your 2012 giving information is available

For those of you who have been giving via payroll deduction, your 2012 giving information for tax purposes is noted on your December pay stub in the “Self Service” section of PeopleSoft.

The meeting will include an update on the Stoffer Family Stadium project, including a construction timeline and renderings, and a presentation on how Bruin athletics (track and field and football), community events and student activities will benefit from this new facility.

Some information regarding W-2 forms

The 2012 W-2 form is now posted on MyGFU for all employees. If you have trouble opening it, you may need to disable your pop-up blocker. Call the Service Desk at 503-554-2569 for assistance.

For anyone who did not give consent for online-only delivery, your W-2 will be mailed no later than next Thursday, Jan. 31, although we anticipate it being a few days earlier. There will be an e-nnouncement to let you know the exact date if it is earlier. (You can go to MyGFU self-service anytime to give permission for future W-2s to be provided online only.)

New information included this year on W-2 forms is the amount of health plan premiums paid by the university for your coverage. This information is required by the Affordable Care Act (also referred to as health care reform), but it is information only – premiums are still pretax/not taxable.

To find other information that will likely be useful when you or your tax preparer files your tax return, please refer to instructions on the back of the form (if you receive yours in print). This information is also available via a link in self service in MyGFU. You can find GFU-specific W-2 information on this payroll forms Web page.

Countdown to tuition remission request deadline

Eight-hundred regular and student employees have given consent to receive their W-2s online. If you are not among these, please consider doing so no later than 10 a.m. this Friday, Jan. 18. There are several advantages:

  • It will be available to you sooner
  • It will be accessible to you in MyGFU (self service) when you are ready to print it. If you should misplace it after your print it, you won’t have to pay $5 for a replacement copy. You simply reprint it.
  • It will save the university the time and expense of purchasing and stuffing paper W-2 forms and envelopes.

Here is how you give your consent; it should take you only about 30 seconds:

  1. Log in to http://mygfu.georgefox.edu
  2. From the menu at left, select “Self Service”
  3. Select “Payroll and Compensation”
  4. Select W-2/W-2c Consent
  5. Read the statement and check the box to give consent
  6. Enter your GFU password as a confirmation of your identity and click “Continue”
  7. Click “OK”

You’ll receive a confirmation e-mail of your decision shortly after completing this process.

Info on university credit card expenses

In reviewing your department expenses, you will notice credit card charges being posted to a new account: 52009 – Advance Clearing. Charges are being temporarily posted to this account to make sure the expenses are included in the proper month.

These charges will be moved to their normal expense accounts in subsequent months.

Many thanks to those of you who have already given your consent to receive your W-2s online. If you haven’t, please consider doing so to enable us to make it available to you sooner, and to make it accessible to you in MyGFU (self-service) when you are ready to print it.

This will save the university the time and expense of purchasing and stuffing paper W-2 forms and envelopes (over 2,000 last January). And of course, it is also friendlier to our environment. In the future, there will be a $5 charge for replacement W-2s issued and mailed in hard copy.

In order to receive a W-2 in online form only (instead of receiving a paper form), the law requires that you give your consent. This should take you only about 30 seconds to do, so I encourage you to take care of it as soon as possible – perhaps right now:

  1. Log in to mygfu.georgefox.edu
  2. From the menu at left, select “Self Service”
  3. Select “Payroll and Compensation”
  4. Select “W-2/W-2c Consent”
  5. Read the statement and check the box to give consent
  6. Enter your GFU password as a confirmation of your identity and click “Continue”
  7. Click OK

You’ll receive a confirmation e-mail of your decision shortly after completing this process. And just to be clear, you will only have to do this once — not every year.

Is your correct/current address on file in HR?

Would you please take a minute to check your Dec. 28 pay statement (through MyGFU self-service) to be sure the address on it is correct? If so, you need do nothing. If not, please send an e-mail to hr@georgefox.edu with your current address.

This will ensure that we get this information correct on your W-2 (available by Jan. 31), always a good thing.
