Reminder: IT closed the afternoon of June 29

The IT Service Desk will be closed on Tuesday, June 29, from noon to 5 p.m. while we move to a temporary location.  We’re not going far. The Service Desk will reopen on Wednesday, June 30, in its temporary location in Room 208 of the Stevens Center while construction and carpet replacement happens in the office.

IT will be in Stevens 208 through the end of July. Services will be available as usual.

Concur report deadline reminder

Please complete and submit your Concur Employee Expense reports for June 2021 to your supervisor for approval on or before Wednesday, June 30, 2021, to ensure that the reports are approved and available for processing in the finance office on or before July 9 to be included in the 2020-21 fiscal year.

Air conditioning to be turned off over the weekend

This weekend we are expecting record-setting temperatures Saturday through Monday. To best protect our equipment, Plant Services will be shutting off the large air conditioning systems for Saturday and Sunday. Bauman Auditorium is hosting an event until 2 p.m. on Saturday, so the air conditioning will be shut down after the event.

By turning these systems off, if a power event (such as a brownout) occurs over the weekend, the university’s equipment will not be affected. By taking these steps, the university will not be contributing to a large power draw over the weekend, either.

We will bring the systems back online on Monday, June 28. The systems affected are in:

  • Canyon Commons
  • Duke Athletic Center
  • EHS
  • Hadlock Student Center
  • Hoover
  • Klages Center
  • Lemmons Center
  • Murdock Library
  • Roberts Center
  • Ross Center
  • Stevens Center
  • Thomas Center
  • Wheeler Sports Center
  • Wood-Mar Hall

Air conditioning in the lobby areas of the following buildings will also be shut off:

  • Brandt Hall
  • Edwards Hall
  • Newlin Hall
  • Sutton Hall

Thank you for continuing to wear a face covering when shopping at the Bruin Community Pantry’s food bank. We would prefer that our volunteers not be required to ask each person to show proof of vaccination. Considering the small space, we want to be able to keep everyone safe, so face coverings will continue to be required to access the food bank.

New paddleboards and tubes available for rent from Hadlock

The Hadlock Student Center has expanded the rental center inventory to include 10 new stand-up paddleboards and 10 new tubes for floating lakes and rivers.

All watersports rentals come with personal flotation devices (life jackets) and paddles (if applicable). Equipment rentals are available to all students, employees and alumni. No membership is required. Since Hadlock is closed Saturdays and Sundays, weekend reservations must be picked up on Friday by 6:45 p.m. and dropped off on Monday by noon.

Be aware of June 30 fiscal-year-end deadline

The end of the fiscal year is approaching! With that in mind, we would like to let you know of a few requirements for year-end purchases and check requests:

  • Those goods and services on Requisitions/PO’s will need to be physically received/completed by June 30, 2021.
  • Goods and services received after June 30, 2021, will be charged to the 2021-22 fiscal year.
  • Any non-employee check requests received after June 30, 2021, will be charged to the 2021-22 fiscal year as well.
  • All academic admins: Please submit anything you have for processing before you leave for the summer.

All employees are encouraged to attend a special memorial service for Dr. Javier Garcia tomorrow (Wednesday) at 1 p.m. in Bauman Auditorium. Offices will be closed during the service.

Want a quick introduction to Canvas? Interested in learning more about Universal Design for Learning? Check the Schedule of Upcoming Events. These events are hosted in Zoom sessions where you can ask questions and discuss topics. Sessions are offered every Tuesday, Wednesday and Thursday throughout the summer.

This week, Andrea Byerley from Disability & Accessibility Services will host “Engaging All Learners to Improve Outcomes” at 10 a.m. on Tuesday and Wednesday, June 22-23, and at 3 p.m. on Thursday, June 24. This session explores the basics of universal design for learning in Canvas to ensure access for all learners so they can be engaged in challenging and meaningful learning.

In addition, the session will address multiple means of engagement, multiple means of representation, and multiple means of action and expression. Not sure what all this means? No problem! We’ll start with a short overview of the concept of universal design for learning and will then give a few straightforward ways to implement these ideas in your Canvas courses.

Be aware of updated face covering policy on campus

On May 18, the Oregon Health Authority issued new guidance for use of masks in the workplace. Under the updated guidance, people who are fully vaccinated will no longer be required to wear a mask indoors in most public settings where vaccination status is checked.

The new OHA guidance requires employers enforce the previous mask and physical distancing guidance unless employees provide proof they are fully vaccinated. If employees wish to be approved to work without a face covering or physical distancing, they may voluntarily provide vaccination documentation to HR confidentially by:

  • Completing the Voluntary Employee Vaccination Record Form
  • Checking your email for a Google Form receipt with the subject line “Voluntary Employee COVID Vaccination Record Form”
  • Forwarding the Google Form receipt to your manager to confirm you have completed the process (the receipt does not include any private information or an image of the vaccination record).

This is completely voluntary, and we expect that many employees will continue to wear face coverings through the coming months for various reasons. However, if you are fully vaccinated and would like to work without a face covering, you now have this option. Please take the time to carefully review the FAQs so you are aware of what is and isn’t changing.

The university has worked hard to follow CDC and OHA guidance through the pandemic, but we recognize there will be a variety of personal perspectives on how our campus should transition back to pre-pandemic life. We ask that, as members of a Christ-centered community, we treat one another with kindness and grace particularly when our views differ from one another.
