Employee benefits: Adding 23- to 26-year-olds to medical/dental

Tuesday, March 8th, 2011

If you have a child aged 23-26 whom you would like to add to your medical/dental insurance coverage, now is the time to enroll them (deadline is March 18). The Health Care Reform law allows dependents to be covered regardless of student or marital status, even if they have other coverage at their own employer.

To add your child, you must complete the enrollment form for Pioneer or Kaiser (available on this web page). We cannot add your child based on an e-mail or phone request. By enrolling your child, you are committing to this coverage for one year (through March 31, 2012) unless your child becomes eligible for other coverage through their own or a spouse’s employer (and then you will only be allowed to stop their coverage if you tell us within 30 days of the other coverage start date).

Questions? Contact Lisa Burton in HR.

Employee of the Year nominations reminder . . . and apologies

Friday, March 4th, 2011

If you plan to nominate anyone for the Administrative Staff Member of the Year and/or Support Staff Member of the Year awards, please submit your nomination no later than Monday, March 21. A form can be used but is not required.

Simply state why you think the person is deserving of the award – his or her contributions to the university, its students, and its employees. Indicate what was done, who was impacted, and how this impact was and can be observed. In other words, what makes this person stand out in your mind? Winners will each receive a plaque and a $500 check at the employee recognition event on May 2. Please send nominations to Peggy Kilburg via e-mail or to Box 6108.

Please go to this site if you would like to read more about these awards, see the list of eligible employees and previous winners, or to download and use the nomination form.

Finally, apologies to Jonathan Morell and Erin Cruthirds, who were inadvertently left off the list of eligible employees attached to the e-mail sent on Feb. 24.

HR provides employee benefit, open enrollment information

Wednesday, March 2nd, 2011

Flexible Spending Online Enrollment: Thank you for trying something new! We have improved the instructions for enrolling online and posted them on the benefits web page. Before you start, open the instructions posted here. Also, some have found that it’s easiest to enroll using Internet Explorer (Firefox can freeze at the end).

Emergency Travel Assistance: Because of our switch to Regence as our life and disability insurance carrier, employees who are eligible for life insurance (.75 FTE or above for at least one year) also receive free emergency travel assistance with Medex starting April 1. Review or print details from the life insurance section of this web page.

Remember, open enrollment election forms and any changes are due in HR on March 18. Contact Lisa Burton with questions at 503-554-2183.

Nominations open for March Employee of the Month

Tuesday, March 1st, 2011

If you know of someone whose recent contributions make him or her worthy of being named March Employee of the Month, please take a few minutes to send an e-mail to Peggy Kilburg that includes a specific summary of the person’s contributions (past 30 days or so) and any other relevant information about the person.

The deadline for nominations is Friday, March 25. The President’s Executive Leadership Team will select the recipient, and the winner will receive a certificate and a $100 gift card at our next community meeting.

Call for February time sheets and time-off reports

Monday, February 28th, 2011

Would you please take a few minutes to submit your February time sheet (support staff) or time-off report (administrators) to your supervisor right away? As always, please be sure it is complete (including your ID number), accurate and signed by both you and your supervisor before sending it to HR at Box 6108. (If your supervisor is not available to sign it, please send a copy to HR and keep the original until it has been signed.)

Click this link for staff time sheets and download this page for administrator time-off reports.

A tip to help you remember to do this each month: Set a recurring appointment on your Outlook or Google calendar for the first business day of each month with a brief notation: “Turn in time sheet.” That gives you one less thing to have to remember.

A word about the late campus opening of Feb. 24: If you were scheduled to work, record the hours that you would have worked had the campus opened as usual. This includes temporary employees and student employees. If you were not able to get to campus by 10 a.m. or at all, you should use vacation for the time you missed after 10 a.m.

If you were on vacation or took a sick day on Feb. 24, you should record the full day off as vacation or sick leave.

For more information about campus closure policy, visit the university’s website.
