Financial affairs office is live on PeopleSoft

Congratulations to the financial affairs office for successfully making the July 1 “go live” date on the new software. This is a significant milestone, and while there remains a steep learning curve in adjusting to the new system, we commend the financial affairs team on this significant accomplishment.

A few reminders …

  • After July 1, financial transactions for the fiscal year 2009 will need new cost center numbers. Please do not assume your cost center is the same as last year with a zero added. See the financial affairs website for a listing of new numbers.
  • Still wrapping up financial transactions for the 2008 fiscal year? Please use your old cost center number.
  • Continue to use IFAS purchase request and financial reporting after July 1 for fiscal year 2009 until we have the PeopleSoft requisition and reporting features deployed in August.

Network maintenance scheduled for July 2

Early-morning network maintenance will occur at the Portland Center from 7 to 7:30 a.m. on Wednesday, July 2. Internet access will be intermittent during this time.

CAI lab in Stevens Center is out of service

The CAI lab on the third floor of the Stevens Center is now out of service. Some of the equipment is being re-purposed to create an info commons in the Murdock Learning Resource Center this summer. The vacated CAI lab space will be utilized as a classroom. The MLRC and Hoover lab computers will remain available for community use.

Portland Center employee box numbers have changed. Barbi Doran (Telephone Services) has posted an updated list on the employee resources page on the university’s website.  Just look in the Employee Information section for the employee telephone/box list.

Dress casual, enjoy ice cream on July 3

In recognition of Independence Day and the holiday weekend for employees, you are invited to wear casual attire in patriotic colors Thursday, July 3.

Also, at 3 p.m., ice cream bars will be served on the plaza in front of Stevens Center for Newberg employees. Portland Center employees also will enjoy an ice cream break at that time. You are encouraged to enjoy a snack and this opportunity to visit with colleagues.

Lost: Man’s white gold wedding ring

A man’s white gold wedding band was lost last week. It was my dad’s wedding ring given to me when he died. I took it off for work and lost it out of my purse somewhere on campus or around Newberg. If you find it, please contact me at ksearch05@georgefox.edu. The ring has priceless sentimental value, and I will reward the finder.

Tilikum hosts wilderness trip for youth this summer

If you have any 10th- to 12th-graders in your life looking for adventure this summer, Tilikum Center for Retreats & Outdoor Ministries is hosting its Impact wilderness trip Monday through Saturday, July 28 to Aug. 2.

Provide the name of the person for whom the name tag is needed, title or department, and the budget to be charged.

PeopleSoft Financials system approaching start-up date

The financial affairs office has been working with great diligence in completing all the tasks necessary to meet the July 1 deadline to go live with the new PeopleSoft Financials system. There are still tasks that we need to complete, but we anticipate making a smooth transition to PeopleSoft.

Important information:

  • Receive all POs in the IFAS system by 5 p.m. on Thursday, June 26, if you have received your product.
  • The IFAS financial system will be down (including purchasing and all financial reports such as budget managers report) beginning at 5:30 p.m. Thursday, June 26, until Tuesday morning, July 1, while we do the final data conversion.
  • The IFAS student system will be down beginning at 5:30 p.m. Thursday, June 26, until Friday morning, June 27, when you will be notified the system is available.
  • After July 1, financial transactions for the fiscal year 2009 will need new cost center numbers. See the financial affairs website for a listing of new numbers.
  • Still wrapping things up? If completing financial transactions for the current fiscal year 2008, please use your current cost center number.
  • Continue to use IFAS purchase request and financial reporting after July 1 for fiscal year 2009 until we have the PeopleSoft requisition and reporting features deployed in August.

Serve Day in need of more team leaders

The university is in need of 15 more team leaders for Serve Day. This year, team leaders will get to select their top three choices of sites they would like to be assigned to. To volunteer or find out more about being a team leader, contact Kayin Griffith (Spiritual Life) at serveday@georgefox.edu.

Serve Day will observe its 10th anniversary this year on Wednesday, Sept. 10.

Ice cream, floats added to Bruin Den’s summer menu

Beginning June 25, the Bruin Den will offer root beer floats and hand-dipped vanilla ice cream cones for sale. The Bruin Den is open 8 a.m. to 2 p.m. Monday through Friday during the summer.

Portland Center community lunch schedule

The Portland Center community lunches are scheduled for 2008-2009.

We have moved the lunch to Thursday in order to reach a larger percentage of our community.  Typically the lunches are planned for the 2nd Thursday of the month, except January 2009, which will be the 3rd Thursday. As usual, the lunches are scheduled 12 to 1 p.m. and Bon Appetit is scheduled to cater them.

The dates are:  Sept. 11, Oct. 9, Nov. 13, Dec. 11, Jan. 15, Feb. 12, March 12, and April 9

Currently all lunches are scheduled to be in Room 155, with the exception of Sept. 11 which is scheduled to be in Room 285.

Use Mail Services to arrange package pick-ups

Mail Services requests that employees not call carriers such as FedEx, UPS, DHL, etc. for package pick-ups. Mail Services is the only recognized pick-up location for these carriers, an arrangement that helps the university secure discounts on outgoing packages.

Mail Services will do the work of calling the carrier, arranging the pick-up, and following up on the billing to make sure it is correct. We keep a record of the tracking numbers and can do the research on your package as well.

Just route your package to Mail Services with the green “Package Shipping Instruction” form and we will get it shipped for you. If you need any of the forms, let us know and we will send you some.

University Store will be closed June 25-30

This is a reminder that the University Store will be closed Wednesday, June 25, through Monday, June 30, to conduct its year-end inventory procedure. During these days, the Newberg campus bookstore, textbook annex, and online store will be shut down for any type of sale or request. All bookstore employees will be unavailable for assistance.

During this time:

  • There will be no money available to make change.
  • Phone orders or requests will not be taken.
  • Candy, beverages, or other items will not be sold, along with any other type of merchandise.

The bookstore will resume full operation on Tuesday, July 1, but will be closed on Friday, July 4. Please plan ahead for merchandise needed before this time. We thank you in advance for your patience and cooperation as we perform our inventory process.

Secure your windows and doors

Attention Students: While Security has been patrolling the campus lately, we have noticed many open doors and windows on houses and residences with NOBODY HOME.  Laptops and other electronics were there for the taking.

When you leave your residence – even just to run an errand – lock the windows and doors to avoid tempting potential thieves.

Please also lock your cars and bikes, and do not leave your car windows down or cracked open.

City thanks university community for patience during construction

The city of Newberg wishes to thank the George Fox community for its patience and understanding during our construction project along Meridian Street (June 9-12). All of our traffic flaggers commented on how nice it was dealing with everyone entering or leaving campus, compared to the “normal” responses they get elsewhere. One of the flaggers said that everyone they dealt with was “exceptional in understanding and cooperation.”
